Prize Payments

How to record significant prize payments in TakeSheet — including customer identity, machine details, payment method and supporting documentation for AML and KYC compliance.

The Prize Payments module is used to capture and record significant prize payments made to customers by cheque or EFT. This includes jackpot wins and any other prize payments that exceed the threshold for a standard cash payout at the venue.

Creating a New Prize Payment

To record a prize payment, click New Prize Payment in the Prize Payments module. This opens a new entry with the following fields:

Customer Details

  • Customer name

  • Identity documents — required for AML and KYC compliance. Supporting identity documents can be attached directly to the entry.

Machine Details

  • The EGM on which the jackpot or prize was won

Payment Details

  • EFT Payment — Bank account details if the customer has requested payment by electronic funds transfer

  • Cheque — Cheque details if a cheque was issued to the customer

  • Cash / EFT / Cheque Split — Where a payment was made across a combination of cash and EFT or cheque, TakeSheet captures the amount paid by each method

Supporting Documentation

The following can be attached or captured directly within the prize payment entry:

  • Customer identity documents

  • Ticket copies

  • Customer signature

  • Approving manager signature

Prize payments represent significant cash movements that must be accurately recorded for both reconciliation and compliance purposes. Capturing the full details of each payment — including identity verification, machine details and payment method — ensures your venue has a complete, auditable record of every prize payment made, readily available for regulatory review at any time.
