Key Terminology Used in TakeSheet

A glossary of the key terms and concepts you'll encounter when using TakeSheet every day.

Trading Period

The defined window of time that a single reconciliation covers. By default this is configured as 4:00 AM to 4:00 AM the following day, but this can vary venue to venue and is set up by TakeSheet Support during onboarding and configuration.

Z Read

A POS report generated per terminal at the end of a trading period. It summarises all sales transactions, payments and tax data for that period and is the primary source of POS revenue data in TakeSheet.

Media

A tender type used to settle revenue. Media refers to the different ways a transaction can be paid — cash, card, voucher, account, and so on. In TakeSheet, expected media is matched against actual media to confirm revenue has been correctly settled.

Theoretical

The amount that a system, report or data source says should exist — for example, what the POS says was taken in cash sales, or what an EGM meter says should be in the machine. Theoretical figures are pulled automatically from your integrated systems.

Actual

The physical amount counted or recorded by staff at the venue — for example, the cash counted in a till or safe. Actual figures are what your team records in TakeSheet during the reconciliation process.

Variance

The difference between a theoretical or expected amount and the actual recorded amount. A variance can be positive (more than expected) or negative (less than expected) — both require investigation.

Clearance

The amount of funds removed or "cleared" from a float, cash drawer, or gaming machine. In a gaming context, clearance refers to the process of removing cash from an EGM and reconciling it against the machine's theoretical position.

Replenishment

The amount of funds added or "replenished" into a float, cash drawer, or gaming device to restore it to its required operating balance.

Float

A set amount of cash kept in a till or cash drawer for making change during trade. Floats are recorded at opening and closing of each trading period.

Safe Holding

The total cash held in the venue safe at any point during the trading period. TakeSheet tracks safe holdings across all cash movements to maintain an accurate cash position.

EGM

Electronic Gaming Machine — commonly referred to as a poker machine. TakeSheet reconciles EGM data as part of the gaming module.

Turnover

The total amount wagered on EGMs during a trading period. Turnover includes money that is won and re-wagered, so it will always be higher than net gaming revenue.

Wins

The total value of payouts made to players from EGMs during a trading period.

PKJP (Progressive Jackpot)

A jackpot prize pool that accumulates over time across one or more EGMs and is paid out when triggered. Progressive jackpot movements are tracked and reconciled separately in TakeSheet.

P2P (Points to Play)

An Aristocrat S7000 term referring to points accumulated during a member's EGM session that can be converted to play credits. P2P activity is captured and reconciled as part of the gaming module.

Unclaimed Movement

The daily net imbalance of unclaimed funds — amounts that have been recorded in the gaming system but have not yet been physically claimed or settled.

CRT (Cash Redemption Terminal)

A self-service kiosk that allows gaming patrons to redeem gaming credits for cash. Operated by the customer directly.

AutoPay

A cash redemption terminal connected to a cashier desk and operated by staff on behalf of the customer. AutoPay transactions are reconciled separately from CRT in TakeSheet.

Journal / Journal Posting

The accounting entry generated by TakeSheet once a reconciliation is approved. Journals are posted directly to your General Ledger and represent the financial record of the trading period.

General Ledger (GL)

The central accounting record for your business. TakeSheet posts journal entries directly to the GL via your connected accounting system (e.g., Xero, MYOB, NetSuite).

TAB / Keno

Wagering products available in many licensed venues that generate commission revenue. TAB and Keno settlement and commission figures are reconciled as part of the wagering module in TakeSheet.
