Consolidating Multiple POS Z Reads

How to merge multiple Z Read entries in TakeSheet when two or more terminals or shifts share the same cash drawer.

In some venues, multiple POS terminals or shifts share the same physical cash drawer. In these situations, reconciling each Z Read individually against a single drawer isn't practical β€” the cash from multiple terminals needs to be counted together. TakeSheet handles this through the consolidation function.

When to Use Consolidation

Use consolidation when two or more POS terminals or shifts have contributed to the same cash drawer and need to be reconciled as a single count. Common scenarios include:

  • Multiple terminals operating from the same bar area sharing one drawer

  • A split shift where two clerks have used the same terminal and drawer across different sessions

How to Consolidate Z Reads

  1. In the POS module, identify the Z Read entries that share the same cash drawer.

  2. Select the relevant Z Read entries using the checkboxes on each row.

  3. Click Consolidate β€” TakeSheet will merge the selected entries into a single consolidated entry.

  4. The Theoretical Cash figures from all selected Z Reads will be summed automatically into one combined theoretical total.

  5. Count the shared cash drawer and reconcile it back to the original float.

  6. Enter the net imbalance cash in the Actual Cash field of the consolidated entry.

  7. TakeSheet will calculate the variance across the combined theoretical total and your entered actual figure.

  8. Once satisfied, tick the Completed checkbox to mark the consolidated entry as done.

Note: Once Z Reads have been consolidated they are treated as a single entry in TakeSheet. Take care to select only the correct Z Reads before consolidating β€” if an error is made, contact your Manager or Admin for assistance.
